The following rules and regulations become binding upon acceptance of this contract between the applicant (Vendor), its employees and agents, and the Chattahoochee Nature Center (CNC). The Vendor also assumes full responsibility for complying with any local, city, state, and federal regulations regarding permitting, sales, taxes, fire, electrical wiring, safety, and/or health. [Subject to City of Roswell and Fulton County codes]
2. SPACE ASSIGNMENTS

Space will be assigned to Vendors. CNC reserves the right to assign or alter exhibit locations as it deems advisable and in the best interest of the event. The CNC does not guarantee access to Wi-Fi.
3. PAYMENTS

4. CANCELLATIONS

Cancellations must be requested in writing and received on or before September 5, 2025. Requests should be made to: Tamara Kinmon, t.kinmon@chattnaturecenter.org. All registration refunds are subject to a 15% administrative fee. Please allow 2-4 weeks for a refund. No refunds processed after August 21, 2025.
5. SAFETY

Any/all electrical equipment, including signs and lights, shall be in good operable condition and able to pass the inspection of the local Fire Underwriters Inspection Bureau. Each Vendor agrees to be knowledgeable and responsible regarding ordinances and regulations pertaining to health, fire prevention, and public safety while participating in this festival.
6. USE OF VENDOR/PARTNER SPACE

(A) Over-the-counter sales are defined as a transfer of goods for money, check, draft, or other kinds of payment. These sales will be permitted in accordance with facility, local, city, state, and federal regulations. These transactions must be made by the Vendor –CNC is unable to assist with transactions. (B) Distribution by the Vendor of any printed matter, souvenirs, or other articles must be confined to the assigned space. No undignified manner of attracting attention will be permitted. All exhibits must fit in the space provided. (C) Vendors shall reflect their company’s highest standards of professionalism while maintaining the space during the event. (D)Vendors shall arrange their exhibit so it does not obstruct the general view or hide the exhibit of others. (E) Vendors shall distribute products in environmentally friendly materials (compostable plates, bowls, cups, and flatware) and will NOT use Styrofoam or other similar non-biodegradable products. CNC will provide access to electricity in order to eliminate the need for a generator.
7. SECURITY/LIABILITIES/INSURANCE

Cancellations must be requested in writing and received on or before November 8, 2024. Requests should be made to: Fabiola Clermont – specialevents@chattnaturecenter.org. All registration refunds are subject to a 15% administrative fee. Please allow 2-4 weeks for refund. NO refunds will be processed after November 15, 2024. Vendors will be notified as soon as possible if the event is canceled or rescheduled. The vendor will be eligible for a full refund or the reservation and payment will be valid for a new rescheduled date as determined by CNC.

CNC DOES NOT guarantee access to Wi-Fi although it is available. B. Distribution by the Vendor of any printed matter, souvenirs, or other articles must be confined to the assigned space. No undignified manner of attracting attention will be permitted. All exhibits must fit in the space provided. C. Exhibitors/Vendors shall reflect their company’s highest standards of professionalism while maintaining the exhibit during the symposium hours. D. Vendors must stay for the entire event. If an exhibit booth is broken down or left empty before 5PM, that company becomes ineligible for participation in the next Holiday Market. E. Exhibitors/Vendors shall arrange their exhibit so it does not obstruct the general view or hide the exhibit of others. F. All vendors must limit noise to an acceptable level. Acceptable level is defined as low enough that two people 8ft away from space can speak without having to raise their voices beyond a normal conversational level. G. Vendors are encouraged to use recyclable materials and avoid using single-use foodservice items. H. Vendors are responsible for cleaning their table and area by 6PM on Saturday, December 2.

I understand that the Chattahoochee Nature Center is not responsible for vandalism, break-ins, or theft of personal property. I also understand that the Chattahoochee Nature Center does not provide insurance for participants in its activities and the undersigned is required to and shall carry such insurance adequate for any eventuality for injury or illness as a result of such activities. 6.USE OF EXHIBIT SPACE

(A) Over-the-counter sales are defined as a transfer of goods for money, check, draft, or other kinds of payment. These sales will be permitted in accordance with facility, local, city, state, and federal regulations. These transactions must be made by the Vendor/Exhibitor – CNC is unable to assist with transactions. (B) Distribution by the Vendor/Exhibitor of any printed matter, souvenirs, or other articles must be confined to the assigned space. No undignified manner of attracting attention will be permitted. All exhibits must fit in the space provided. (C) Vendors/Exhibitors shall reflect their company’s highest standards of professionalism while maintaining the exhibit during the symposium hours. (D) Vendors/Exhibitors shall arrange their exhibit so it does not obstruct the general view or hide the exhibit of others. (E) Vendors/Exhibitors shall distribute products in environmentally friendly materials (compostable plates, bowls, cups, and flatware) and will NOT use Styrofoam or other similar non-biodegradable products. CNC will provide access to electricity in order to eliminate the need for a generator.
7.SECURITY/LIABILITIES/INSURANCE

The vendor will be eligible for a full refund or the reservation and payment will be valid for a new rescheduled date as determined by CNC.

(A) CNC encourages social distancing, wearing of masks and washing hands frequently. (B) All vendors must adhere to the current CDC and EPA COVID 19 safety guidelines as well as the Georgia governors’ orders and CNC policies at all times on the CNC grounds. (C) Vendors are permitted to give out product samples including food and drink as long as they adhere to those guidelines noted above.

All exhibits must fit in the space provided. (E) Vendors shall reflect their company’s highest standards of professionalism while maintaining the exhibit during the event hours. (F) Vendors must stay for the entire event. If an exhibit booth is broken down or left empty before 4PM, that company becomes ineligible for participation in the next expo. (G) Vendors shall arrange their exhibit so it does not obstruct the general view or hide the exhibit of others. (H) All vendors must limit noise to an acceptable level. Acceptable level is defined as low enough that two people 8ft away from space can speak without having to raise their voices beyond a normal conversational level. (I) Vendors are encouraged to use recyclable materials and avoid using single use foodservice items. (J) Vendors are responsible for cleaning their table and area by 5PM on the day of the Wedding Expo.

1. CONTRACT:
The following rules and regulations become binding upon acceptance of this contract between the Contestant or Team Captain (Vendor), its employees and agents, and the Chattahoochee Nature Center (CNC)
2. SPACE ASSIGNMENTS:
Space will be assigned to Vendors. CNC reserves the right to assign or alter exhibit locations as it deems advisable and in the best interest of the exhibit.
3. PRIZES:
Vendors must submit a W9 with their entry form in the event that the entry wins a prize. Prizes are to be awarded by CNC to the Vendor by check no later than March 10, 2024. Vendors may elect to waive their prize winnings as a donation to CNC if they choose.

4. CANCELLATIONS:

Any/all construction materials shall be in good operable condition and will be reviewed by CNC upon installation.
6. USE OF EXHIBIT SPACE:
(A) Vendors will be asked to check on their fairy house once per month over the duration of the exhibit. Vendors will receive three passes to show at admissions to be admitted at no charge for the purpose of checking on the display. Vendors may maintain their exhibit only during regular operating hours of CNC. Pass is to be used by Vendors only. (B) Business/company/individual logos or other promotional information may only be included in the exhibit upon entry under the Business/Corporate category. All exhibits must fit in the space provided. (C) Vendors must hold themselves to the highest standards of professionalism while maintaining the exhibit during operating hours. (D) Vendors shall arrange their exhibit so it does not cause any safety issues or damage the natural environment in any way. (E) Vendors must remove all items between 3/1/2024 and 3/10/2024 at 5PM.
7. REQUIRED BUILDING GUIDELINES
Vendors have read and agree to adhere to the Fairy and Gnome Home Building Guidelines found on the Enchanted Woodland Trail Exhibit page at https://www.chattnaturecenter.org/special-events/enchanted-woodland-trail/.
